Roars Music – WhatsApp Integration (LSCFR) Privacy Policy
This application is developed and operated by Roars Music as a private technical project in support of Leeds Student Community First Responders (LSCFR). It is not a public-facing service and is strictly limited to invited participants.
Scope and Access
Access to this service is restricted to explicitly invited individuals only. It is not intended for general public use, and no functionality is exposed beyond authorised participants.
Data Collected
The application may process the following limited data solely for operational purposes:
- WhatsApp phone numbers of invited users
- Message content sent to or received from the service
- Basic delivery and interaction metadata required for messaging functionality
Purpose of Processing
Data is used exclusively to:
- Send automated operational notifications (e.g. milestone updates)
- Respond to user-initiated requests (e.g. status enquiries)
- Support internal coordination and monitoring within LSCFR
No data is used for advertising, profiling, or commercial resale.
Data Sharing
Data is not shared with third parties except as required to operate the WhatsApp Business platform provided by Meta.
Data Retention
Data is retained only for as long as necessary to support the operational purposes described above. Logging is minimal and proportionate to ensure system reliability and traceability.
Security and Control
This system is operated in a controlled environment with access limited to authorised administrators. Reasonable technical and organisational measures are taken to protect data integrity and confidentiality.
User Expectations
As this is an invited-only service, participation implies an understanding that messages may be processed programmatically to deliver automated responses and operational updates.
